Title: Various Add'l Issues in PO
Post by gtladmin on 10/29/09 at 10:17:24

From our purchasing person today--newly reported issues she is discovering since the last update:

*Most important issue: 1) When you change the quantity of a Make-from item, it is no longer asking you whether you want to change the quantities of the BOM items accordingly, nor is it automatically changing them.  Because of this, incorrect quantities will be deducted from inventory when the parent item is received.  The only way around it right now would be to delete all the lines (parent and BOM items) and start over with the new quantity, or change each individual BOM item quantity, which I know will cause problems during receiving- not to mention it would be extremely time consuming to calculate and change)

(2) When you are looking at the list of line items, you cannot easily scroll down to find the line you want to revise.  You have to look line by line (rather than pulling the scroll bar down to where you think it is).  And sometimes, the top portion of lines does not move (like the "freeze pane" option in excel) and just the last line scrolls one by one, making it near impossible to know where you are on the PO.

(3) No PO line numbers are showing in the grid to help you find a specific line--very tedious.

(4) Cannot copy PO's, open nor closed ones

Update to item #4 from our purchaser:  she said she discovered that she thinks Evo is actually allowing you to copy a closed PO, BUT she didn't notice it actually worked because it's not automatically picking the next number...it appeared to pick a random skipped # of a deleted PO so she had to search for it.  BUTTHEN, after closer inspection, she actually determined it was not from a deleted PO but from an already closed PO!  She decided to re-do the PO so it didn't mess up anything accounting-wise (I don't need Nancy to get upset over that on top of everything else on the "problem list").

I seem to remember something somewhere about this issue, no?  I could not find anything in a search on the forum, but it does seem familiar to me.

There was a problem earlier where enterning a new PO would sometimes be assigned an already used number.  We have also had this happen recently when converting an RFQ.

Vman:  I knew it sounded familiar.....thanks.

Here's what our purchaser does when copying the PO--so that if someone wants to try to replicate.

*   Go under PO-D (View PO Receivers)
*   Locate a recent PO for an item you want to order again (in this case,
PO# 605410)
*   Choose "Copy PO"
*   Leave option "Please enter PO#" blank so it will automatically choose
the next open PO number in sequence
*   Leave option "Est Receipt Date" blank
*   Go to PO-A (Enter Purchase Orders) and search by PO number.  It
should be the last PO on the list (ie. most recent, 605533 in this
case), but instead it chose PO# 605514 (a recently received vendor
   order)

She deleted the new PO# 605514 and entered a new PO under 605533 so we
wouldn't receive on the same PO twice.

Ok, thanks Lynn and Allen, Purchasing has confirmed that the PO-A issues with regard to my items 1-3 have been corrected.  Yeah!  ;D

Duplicating PO lines and copying a closed PO to the next PO# in sequence are hopefully in the works?

Many thanks!!!!

Here's a follow-up to the fixes applied yesterday. This is from our purchasing manager:

Hi Val,
One thing I noticed is that the changing BOM quantities accordingly doesn't work if you change the quantity to zero.  In the past, you could zero out the line and it would zero out all materials as well.  If it won't allow that, then you have to delete every single line or change each line to zero individually.

Maybe this is something they can include on the next fix?[/i]

Can we get this fixed in PO-A?

Thanks,

Val

Yes, I confirm and Allen is working on it.

Here are a few things that my purchaser noted:

1.             If you have entered a PO and saved it, you go back to the blank PO window.  If at that time you attempt to  edit a PO, you can look it up, but it won’t pull up the information.
2.      When editing line numbers of a PO, as you enter through the fields, when you get to the price field, it automatically reverts to its default price.  If you don’t notice, it really messes things up.
3.      An edited PO does not recalculate totals (like the bug in the enter PO was originally), you can’t see the totals until print preview.  That makes it difficult to verify your corrections.
4.      Enter PO does not hold operator initials.

Also,  you cannot enter a 2 digit number in the terms field, you have to bring up the scroll window and select.

Vman:

Our purchaser can confirm #2 and #3 on your list. She said those two items were both things she considered sort of minor in comparison to all the other issues, so didn't bring them up yet to me.

Hope that helps (now I have two more things added to my list   :'(  )

They are minor, unless you are ordering electronics and have a 20 or 30 line PO.  Then, they are time-eaters.

Ok, applied the last updates Lynn and Allen sent to me.  Here's PO feedback from our Purchaser:

Quote:
Hi Val,
I just tested the above and found that it will duplicate the item, but does not include all the specs.  Here are the steps I took:
1) enter part number and say yes to "Include this part's specifications?"
2) it will then add vendor part# and specs under part# and default to next blank line so you can continue
3) at blank line, hit "duplicate line" icon
4) instead of asking the correct question of "Include this part's specifications?", it asks "Include comment lines?"
5) when you look at the list of parts on the order, the line has been duplicated, but it only includes the second line of the specs as entered in IN-B.  vendor part number and first line of specs is not included, but should be

On a positive "note", the notes field is working again!

So, can we look further at the duplicate line issue to get it to fully duplicate the line?

Thanks!!!!

Val

I am trying to figure out how to enter a PO with the new sp4 version and am having a world of trouble--
1) First, I can't figure out how to copy an open PO-- I have no copy button in PO-A, and PO-D won't let me copy an open PO.  I did successfully copy a closed PO in PO-D.
2) I am having problems with duplicating a line item that have been mentioned here-  the first time I got the part, a blank line and the vendor part number, the next time I just got the part number and no 2nd line or vendor part #.
-- BTW, I can't figure out how to copy the first line of a two line PO.  Is that not possible?
3) There is something fishy going on with the PO list screen- when I first open a PO and click on line item tab, the list is displayed-- when I try to move down a line, nothing happens if I us the keyboard arrows; if I mouse click the scroll bar I get a message "Cannot focus a disabled or invisible window".  If i click the list button and go to a line and then click the list button again, now I can move around in the list.

In playing around with entering a PO-- adding lines, inserting line, duplicating lines, trying to delete lines, I have so screwed up a new PO that now when I try to edit it Evo crashes.  I don't think this should be this difficult but there is some magic that I don't know about....

We installed SP4 yesterday, and are getting a lot of the problems that Cathy has mentioned.  If it hasn't been mentioned yet, when we went back in to an open PO and changed the Taxable flag from blank to Y, it didn't update the PO with the tax amount, either on the screen or on the printout.

Changing the taxable flag on the Header has never recalculated the tax unless you tab through the lines and set them as taxable.
