Printing Invoices
03/04/04 at 12:33:07

We are a small manufacturer with two distinct divisions.  Each division has separate letterhead.

My question is: Does the list of updates contain one that allows you to print invoices for released sales orders by customer class code?

Because orders arrive at different times in the day and are entered when they arrive, in order to get invoices on the correct letterhead, we have to print them one by one (instead of a batch printing by customer class code).

If this is in the updates or add on programs please let me know and I will join tomorrow!

Thank you so very much.

It isn't. Not sure how much sense it would make for Lynn to add that as there is probably quite limited demand.

Have you considered using an outside program (MS Access or Crystal) to do this? That would even give you the capability to store the logos individually in an electronic format with the separate report forms and save on having to have them printed by a printing company.

You can store the logo and other letterhead info in the .rtm file without using an outside program.  Just delete the fields for company info and put the letterhead stuff in an image.

Mike,

Of course they can. But by using Access or Crystal they can also accomplish the primary objective of being able to batch print using some other field value than what DBA allows. And they could then have ANY format/design of form that they want. That is why virtually every other ERP package uses Crystal or something like Crystal (ie. the FULL version of Report Builder) for forms at the very least, if not for both forms and reports.

Thank you for your advice:

My issue with storing the image of the logo is that I still cannot batch-print because each division gets its own logo.  So I would still have to print individually.

Using Crystal is a possibility but then my employees will have to remember to print twice (once in crystal, and once in DBA so that the inventory is deducted, etc.).

I just thought it would be nice to print invoices (and other forms) by selecting some criteria (other than sales order #).  It would save me an hour per day of clerical time.

Lynn- Is there any way I could pay you to develop this for me?

Batch printing by some other criteria besides SO number would be easy enough, you just need to define what field to use to designate the division

As I've mentioned before, this would also be of help to email invoices by a sorting criteria as well.

Customer Class would work for us.

Here's a wild idea...how about a pick list of the invoices that you could tag whatever invoices you wanted to print? This would also allow for out of sequence printing..... Roll Eyes

Filter from/through customer class is quite simple, if that means another IS Tech subscriber, I can have it today Wink

Tag list is a bit trickier but possible - is there interest or is Customer Class good enough?

we like to email invoice copies to sales persons once a month or so. A print choice by date range and SLSp would come handy.

HB's post is exactly why I suggested a pick list format. Everybody is going to have a different field(s) they want to pick and sort and group by. And by putting a pick list into printing acks, pack slips, and invoices, then the vast majority should be able to be satisfied.

Right now, our divisions are set up by customer class... one divisions classes start with an "S", the other with a "W".

So selecting by customer class would work great just for us.  However, tagging invoices from a pop-up box would work as well... its just that we print 50-100 invoices per day and the simple customer class selector would let us batch them very very quickly.

Thank you for all your help!

This weekend's IS Tech update will have from/thru customer class in SO-B, SO-C and SO-F as well as the ability to filter the SO lookup by order status (all, unreleased, released, printed).   Will look into a tag list for a future update.
